What drives the cost of an exhibition stand in Dubai and Saudi Arabia?

The eight factors that decide what an exhibition stand costs in the UAE and KSA, from size and materials to AV, approvals and logistics, plus ways to get more from your budget.

What drives the cost of an exhibition stand in Dubai and Saudi Arabia?

The cost of an exhibition stand in Dubai or Saudi Arabia depends mainly on eight factors: stand size, design complexity, materials, AV and technology, graphics, furniture, approvals and site services, and logistics and timing. Size and complexity have the biggest effect. Renting AV and furniture, reusing parts and approving the design early are the easiest ways to get more from your budget.

1. Stand size and open sides

Cost rises with floor area, but not in a straight line. An island stand open on four sides needs finished walls and graphics all round, while a one-side-open inline stand can use the hall's back wall. Height matters too: tall walls and hanging banners need structural checks and rigging.

2. Design complexity

Straight walls are quick to build. Curves, angled ceilings, cantilevers, integrated product displays and double-decker floors all add engineering, workshop hours and on-site time. A good designer puts the complex elements where visitors look first and keeps the rest simple.

3. Materials and finishes

Painted timber is the most common base. High-gloss lacquer, real stone, metal cladding, glass and acrylic raise the cost. Ask for a mix: premium finishes on the reception counter and feature wall, standard finishes elsewhere.

4. AV and technology

LED walls, large screens, touch tables, interactive displays and AI-driven experiences can be a major part of the budget. Renting AV for the show days is usually far cheaper than buying, and a builder with its own AV rental team can install and test everything with your content before the show.

5. Graphics and signage

Large-format printing, fabric graphics, 3D letters and illuminated logos vary widely in price. Reusable fabric graphics and modular signage frames lower the cost when you exhibit often.

6. Furniture

Meeting tables, lounge seating, bar stools and display units are usually rented. Custom furniture is worth it only for hero pieces that carry your brand.

7. Approvals and site services

Most quotes cover design, build, graphics and the builder's approval paperwork. Your organiser usually charges separately for:

  • space rental
  • electricity and power points
  • water and drainage for coffee bars
  • internet
  • rigging points for hanging structures

Ask for a full list early so these items are in the budget from the start.

8. Logistics and timing

Transport, storage, crew overtime and rush production all add up. A late design approval often means night shifts in the workshop. Exhibiting in Riyadh or Europe adds shipping and customs unless your builder has production close to the venue.

Seven ways to get more from your budget

  1. Approve the design 10 weeks before the show to avoid rush fees.
  2. Rent AV and furniture instead of buying.
  3. Reuse reception counters, LED frames and structures across shows.
  4. Spend on the first three metres, where visitors form their impression.
  5. Choose a hybrid stand: modular base, custom hero pieces.
  6. Work with one in-house team for design, production, AV, graphics and furniture to avoid subcontractor mark-ups and missed handovers.
  7. Build close to the venue. DOT Exhibits has production in Dubai, Riyadh and Milan, which cuts shipping time and cost for shows in the UAE, Saudi Arabia and Europe.

Frequently asked questions

What is the biggest factor in the cost of an exhibition stand?

Size and design complexity. A larger space needs more structure, flooring, graphics and lighting, and features such as curved walls, ceilings or a second floor add engineering and build time.

How can I reduce the cost of my exhibition stand?

Approve the design early to avoid rush production, reuse parts such as counters and LED frames across shows, rent furniture and AV instead of buying it, and work with a builder who makes everything in-house to avoid subcontractor mark-ups.

Are venue and organiser fees included in a stand builder's quote?

Usually not. Space rental, power, water, internet, rigging points and some venue fees are normally ordered from the organiser and paid by the exhibitor. Ask your stand builder for a list so nothing is missed.

Is it cheaper to rent or buy furniture and AV for an exhibition stand?

For one or two shows a year, renting is almost always cheaper. Rental also includes delivery, setup and collection.
